How to keep “who to call next” always clear
The fastest teams are not faster because they work more hours. They are faster because they remove ambiguity.
When “who to call next” is clear, the day stays focused. When it is unclear, you stall.
The three rules of clarity
1. One next step per contact
- A contact should never have two competing next actions.
2. Short lists beat big lists
- Your list should fit today, not the entire quarter.
3. The CRM should carry the memory
- You should not have to recall the last email or call to decide the next step.
A lightweight weekly rhythm
- Monday: choose today’s 5–15 contacts
- Daily: update the list as calls happen
- Friday: clean up anything that no longer matters
This rhythm keeps the list alive without turning it into admin work.
The important bit
Clarity comes from doing less, not more. A CRM that pushes you to fill every field makes clarity harder. A CRM that captures the essentials makes it easy.
