Retention and Deletion Policy
This policy describes how long Lingonberry Island Ltd. (Bus.ID: FI2912630-1, Finland) retains personal data for the Callers CRM service.
1. Workspace data retention
- Active accounts: workspace data is retained while the account is active.
- Termination: customers have 30 days to export workspace data after access ends.
- Deletion: workspace data is deleted within 90 days after access ends, subject to legal or contractual obligations.
2. Customer relationship and accounting records (10 years)
We retain certain customer relationship and accounting records for 10 years. This typically includes invoices, payment records, and subscription history. This retention is separate from workspace content retention (Section 1).
3. Backups and logs
- Backups: retained for a limited period for disaster recovery. Some data may persist in backups until backup expiration.
- Operational logs: retained for security monitoring and troubleshooting for a limited period.
- Audit logs: retained for security and compliance purposes for a limited period and may be retained longer where required by law.
Operational retention settings (including vendor-specific retention controls) are maintained in internal operations runbooks.
4. Support and communications
Support tickets and communications are retained for as long as needed to provide support history and meet legal obligations.
5. Legal holds
Where required by law, we may retain data beyond the periods above. We will restrict access to such data and delete it once the legal hold ends.
6. Customer responsibilities
Customers are responsible for exporting data within the 30-day export window. After deletion, data cannot be recovered except from backups retained within policy limits.
